Project Teams: How effective is your punch list to resolve your current issues?
Here are 5 ways to make the punch list and process more effective, so you can close those issues faster (and refrain from re-opening them).
üõ†Ô∏è Store the punch list where everyone has access to it. Encourage everyone to feel emplowered to keep it up to date.
üõ†Ô∏è Set the expectation of required information the person reporting the issue must include in the punch list for the issue to be valid. Encourage people to include relevant screen prints as punch list attachments.
üõ†Ô∏è Align on how issue severity is defined. Are you using Critical, High, Medium, Low? What the difference between these? In what order will these be addressed? Most importantly, the severity must be set with each new issue created.
üõ†Ô∏è Meet on a regular basis to get updates on issues from the issues owners, who are the people responsible for the next action to be taken for the issue. These meetings should be used to get into the weeds/details but rather to check on progress and hurdles.
üõ†Ô∏è Keep all stakeholders and sponsors in the loop on the status of the punch list. Share an update using a simple dashboard that shows the status of new, open, monitoring, and closed issues (or whatever your statuses are).
