Email updates as an alternative to status meetings.
Sending an email update to stakeholders prior to a status meeting may enable you to cut the status meeting duration in half or thirds.
Emailed status updates are also a great way to address some of the reasons that meetings get a bad rap that I raised in my article titled “What’s the first thing you think of when you hear the word meeting”.
How much of the time in a 30-minute status review meeting is spent simply listening to the presenter providing an update to the team? In how many meetings would the answer fall above 85-90% of the time.
Few questions are asked by participants during the status meeting. The same outcome could often be obtained if the meeting organizer had simply sent an email update before the meeting.
