There’s an art to designing a meeting and/or workshop. It’s a balancing act to have the right discussions that result in the desired outcomes.

Trying to fit 5 lbs. of stuff into a 3 lb. bag will only end up with a mess and a lot of stuff on the floor.

Here are 5 ways to prevent adding too much into a meeting or workshop.

1. Think about people’s energy. Build in breaks. People can only focus for so long.
2. Include time for instructions, examples, transition to the next activity, and wrap-up.
3. Think about the audience’s experience with the activities. Leave more time for first timers.
4. Think through the exercise and what could go wrong. Then build in plans to keep it on track.
5. Ask a trained facilitator to review the plans and provide their feedback on timing.
